Quickbooks Shortcuts

Every time you take your hand away from the keyboard and reach for the mouse, you lose time. Learn these simple keyboard functions to improve efficiency.

List Related

Ctrl + E

Opens up a vendor, customer, employee, account, or item to be edited.

Ctrl + D

Deletes any list item (vendor, customer, employee, etc.) as long as the item hasn’t been used in a transaction or referred to elsewhere such as in an employee’s payroll setup.

Ctrl + N

Opens up the “create new” for any list item (customer, vendor, item, account).

Ctrl + J

Opens up the Customer Center if you don't have it on your icon bar

Ctrl + Q

Provides a Quick Report for the selection; for example, a Quick Report for any account in your Chart of Accounts will produce a report listing all transactions that included that account. WARNING! Be sure to check the date range: when generating quick reports for accounts, QB uses a date range of “all” for balance sheet accounts but “fiscal year to date” for P&L accounts.

Ctrl + R

In the Customer Center, clicking on a customer or job name and using this shortcut will open up an Accounts Receivable Register for just this customer. This register will contain only A/R related transactions such as invoices and credit memos. It will not show deposits or cash receipts.

In the Chart of Accounts, clicking on an account and using this shortcut will open up a register for the account (Balance Sheet accounts only).

Ctrl + I

In the Customer Center, clicking on a customer or job name and using this shortcut will create an Invoice.

Ctrl + P

Prints the list (but typically you have better success with List Reports).

 

Transaction and Form Related

Ctrl + E

Opens a saved transaction or form (particularly helpful in the checkbook register when you may find that a check or deposit just doesn’t want to open up when you double-click).

Ctrl + D

Deletes an entire transaction – so be careful!

Ctrl + Del

Deletes an entire row within a transaction – do not confuse with Ctrl+D!

Ctrl + Insert

Adds a blank row within a transaction – click on the row below where you want to insert the new row. Row will be added above.

T

When entered in the date field, Today’s date will be entered.

+ and -

In a date or check number field, this advances or backs up the date or number by 1 (example: hitting + will change 5/4/2010 to 5/5/2010)

$100.00

For whole numbers don’t bother to type in the .00 part. QB will fill this automatically.

Navigation Related

Ctrl + Enter

Within a form, is the same as Save and New.

Enter

Within a form, is the same as Save and Close.

TAB

Within a form, use to move from field to field sequentially.

Shift +TAB

Within a form, use to move backwards from field to field.

Space Bar

Hit to place or remove a check mark in an option box.

Enter

In a dialogue box, use to accept the default selection.
HINT: When adding a new vendor from a form such as a check, key in the new name, hit TAB, and QB will present the options to Quick Add, Set Up, or Cancel. The Quick Add choice will be selected by default. To choose this option, just hit Enter. Next, QB will present the options to add the new name as a Vendor, Customer, Employee, or Other. The Vendor choice will be selected by default. To choose this option, just hit Enter.

GoTo

From within the checkbook register, use the Go to option (upper left) to find entries based on the Payee/Name, Number/Ref, Memo or Amount.

Ctrl + F 

Opens the Find screen. Use the Simple find tab or the Advanced. The Advanced provides more selection criteria. The selection criteria chosen from the Filter list will appear in the Current Choices box (upper right) and can be edited quickly by double-clicking the choice to change it.

Ctrl + W

Opens the Write checks window.

Ctrl + Z

If you have typed something into a field, this shortcut will remove it. Unlike using Ctrl + X which is the standard “cut” shortcut for Windows-run programs in general, you do not need to select the text in order to remove it.

Escape

When multiple windows are open, use this key to close windows in the reverse order in which they were opened.

Standard Editing Shortcuts

Ctrl + X

Deletes selected characters.

Ctrl + C

Copies selected characters/text.

Ctrl + V

Pastes copied characters/text at insertion point (where you click).
